Organisation of the event

Concerning the organisation of the event, I will first explain to you what the different stages we have carried out to organise this tournament are. Some of these stages were intertwined in simultaneous ways. 

Steps 1: Find an idea for an event and define it 

Reflection with the team on the different event ideas: then we classified this one according to feasibility, attractiveness, memorable, quality... 


With reference to my event courses we needed a SMART event: specific, measurable, realistic and temporal. 

Then we had to define the event precisely: choose the sports of the tournament, the place, the day, the hours, the number of participants, our target: student Erasmus. 50 max 

Steps 2: Finding the place

 

Negotiation with campus sport: find out if equipment loan + rental payment 

Steps 3: Find association 

 

the charity side of the event : mail solicitation of invalidittoo & vau. 

Steps 4: Find sponsors

 

mail solicitation of Redbull and Chloetta. 

Steps 5: Creating an event application form.

Steps 7: Communicating the event 


Creation of Sekoitus facebook page and event page: shared the event on facebook but also on Erasmus

Steps 8: Finalizing the organization of the event: 

 

  • Go get product sponsors 

  • Organization and simulation of matchs

  • Team summary  

  • Room visits for the last checks. 

  • Creation of image rights forms. 

  • Gift purchase to the winners.
